What data Approval Inbox accesses and processes when installed on a Jira Cloud site.

1. Who we are

Approval Inbox for Jira is developed and maintained by AppRL. Contact: support@app-rl.com.

2. What the app does, in short

The app lists Jira Service Management approvals waiting for the current user, lets the user approve or decline them, and lets authorized users extract approval decisions and metrics. Every action runs as the signed-in user, with that user's own Jira permissions.

3. Data the app accesses

3.1 Jira data

  • Approval stages of JSM requests: stage name, result, dates, approvers (display name and account ID) and each approver's decision.
  • Basic issue data needed to show and filter approvals: key, summary, type, status, priority, reporter, created and resolved dates.
  • Fields the user chooses to see in the request details, limited to an allowed list.
  • In the customer portal: the requests waiting for the customer's approval and short request field values shown to help the decision.
  • The user's own permissions, to check access to the approval report.

The app does not read comments or attachments.

3.2 What the app does not collect

  • No payment card data (handled by Atlassian or the payment processor directly).
  • No third-party tracking cookies or pixels.
  • Data is never sold, rented, or shared with third parties for advertising.
  • Customer data is never used to train AI models.

4. Where data is stored

The app does not store customer data. It does not use Forge storage, caches, or scheduled jobs. Data is read from Jira when the user opens a screen and stays only in that browser session. The CSV report is generated in the user's browser and saved only where the user chooses.

5. Third-party sharing

The app only communicates with Atlassian's own APIs, through the Forge platform. No data is sent to any server operated by the developer, to any analytics provider, or to any subprocessor.

6. Retention and deletion

  • Nothing is kept after the user closes the screen.
  • Approve and decline decisions are recorded in Jira Service Management, as part of the request, like any decision made in Jira.
  • Uninstalling the app leaves no app data behind, because the app stores none.
